Daily progress report (DPR) format for construction sites
The daily progress report is the one document that ties labour, materials, and work done into a single record of the day. Most sites either skip it, or fill it so inconsistently that nobody trusts it. This guide covers what a complete DPR contains and a format that holds up when a client or auditor asks questions.

What a DPR is actually for
A daily progress report records what happened on site on one specific day: which work was executed, who worked on it, what materials were consumed, and what blocked progress. It is written by the site engineer, reviewed by the project manager, and becomes the reference when there is a dispute about quantities, delays, or billing.
That last part is the point. A DPR is not paperwork for its own sake. It is evidence. When an RA bill is questioned, when a subcontractor claims extra work, or when the owner asks why a milestone slipped, the DPR trail is what settles it. A report that cannot settle an argument was not worth writing.
What a complete DPR contains
Formats vary between contractors, but a DPR that can stand on its own needs these sections:
- Project and date header: project name, block or zone, date, weather, and the engineer filing the report.
- Labour force: headcount split by team or subcontractor, designation (mason, helper, carpenter, and so on), and shift. Separate departmental (NMR) labour from rate-work labour.
- Work executed: each activity with its location, quantity done, and unit. Tie activities to BOQ items where possible.
- Material consumption: what was drawn from store and consumed against each activity, with quantities and units.
- Material received: deliveries that arrived that day, with quantity and supplier, so stock movement is traceable.
- Hindrances and idle time: what stopped work, for how long, and why. This is the section that protects you in delay claims.
- Site photos: progress photos with location and time. Photos without context are decoration, not evidence.
- Sign-off: who filed it and who approved it, with the date.
A practical format you can copy
The work-executed table is the core of the report. A structure like this works on paper, in Excel, or in software:

Repeat the row per activity. Keep quantities in the same units as your BOQ so consumption variance can be computed later without manual conversion.
The mistakes that make DPRs useless
- Filing from memory at night, or worse, filling three days at once on Thursday. Quantities invented after the fact are the first thing a QS rejects.
- Recording labour totals without team or designation splits. A count of 45 workers tells you nothing about cost per activity.
- Skipping material consumption because the store register is somewhere else. The DPR and stock records then permanently disagree.
- Leaving hindrances out to keep the report clean. If the pump breakdown is not in Tuesday's report, you cannot claim Tuesday's delay in month three.
- No approval step. An unsigned report can be edited later, which is exactly why nobody trusts it.
Register vs Excel vs software
A paper register works for a single small site with one engineer. It fails the moment someone in the office needs yesterday's data, because the register is at the gate. Excel adds copies and formulas, and with them re-keying: the engineer writes on paper, someone types it into a sheet, and every transfer introduces errors and a day of lag.

Before the report is submitted each evening, the engineer should be able to answer yes to all of these:
- Every activity worked on today has a quantity and a unit.
- Labour counts match the morning attendance, split by team and shift.
- Every material drawn from store today appears against an activity.
- Any stoppage longer than 30 minutes is recorded with a reason.
- Photos are attached for each major work front.
- The report is submitted for approval today, not tomorrow.
A DPR habit like this takes under fifteen minutes a day on a phone, and it is the difference between a site that argues from records and a site that argues from memory.
